Privacy Policy

1. Introduction and Acceptance

This Privacy Policy (“Policy”) describes how SpeedyNote (“we,” “our,” or “us”) collects, uses, processes, and protects your personal information across our mobile applications and website (collectively, the “Service”). By accessing or using the Service, you acknowledge that you have read, understood, and agree to be bound by the terms of this Policy. If you do not agree with any part of this Policy, please discontinue use of the Service immediately.

2. Information We Collect

We collect only the information necessary to operate the Service. We do not sell your personal information, and we do not use it to track you across other companies’ apps or websites for advertising.

2.1 Information you provide

• Account information: name and email address obtained when you sign in (including via Google Sign-In or Apple Sign-In).
• User content: audio recordings you choose to capture; files you upload (such as PDFs and documents); webpage URLs and YouTube links you submit; transcripts, note titles, note body text, chat questions, flashcard prompts, and quiz prompts that you create or submit.
• Communications: messages you send to support or feedback channels.

2.2 Information collected automatically

• Account identifier: an internal user ID we generate to associate your data with your account.
• Subscription state: whether you have an active subscription, the plan tier, renewal status, and transaction identifiers received from the relevant app store or payment processor (we do not receive or store your credit-card or bank-account numbers).
• Service logs: standard technical information such as IP address, device type, operating system, and application version, used for security, debugging, and reliability.
• Website analytics (web only): on our website only, we collect aggregate usage information (such as pages viewed and feature interactions) to understand product use. Our mobile applications do not include any third-party analytics or advertising SDK.

3. How We Use Your Information

We use the information described above to:

• Provide the Service’s core functionality: transcribing recordings, generating notes, summaries, flashcards, quizzes, embeddings, and chat answers from content you submit.
• Create and authenticate your account, secure it, and prevent fraud and abuse.
• Process and manage your subscription entitlements through the applicable app store or payment processor.
• Communicate with you about service-related matters such as receipts, security notices, and support responses.
• Maintain, debug, and improve the reliability and performance of the Service.
• Comply with legal obligations.

We do not use your personal information for third-party advertising, and we do not allow our third-party AI providers to use your content to train their general-purpose models.

4. AI Processing and Third-Party AI Providers

SpeedyNote’s core features rely on third-party artificial-intelligence providers. Before any content is sent to these providers for AI processing, our mobile app presents an in-app consent screen that describes what data will be shared, who will receive it, and how it will be used. You must explicitly tap “I Agree & Continue” before any AI processing occurs.

4.1 What is shared with AI providers

• Audio recordings you save are sent to a third-party speech-to-text service provider to produce a written transcript.
• Transcripts, uploaded file contents, webpage and YouTube content, note text, note titles, chat questions, and study prompts are sent to OpenAI to generate notes, summaries, flashcards, quizzes, embeddings, and assistant responses.

4.2 Contractual protections

We have agreements in place with each AI service provider that require them to: (a) process your content only to perform the services requested by SpeedyNote; (b) not use your content to train their general-purpose AI models; (c) not sell or share your content with advertisers or data brokers; and (d) implement security and privacy protections at least equivalent to those described in this Policy.

4.3 Withdrawing consent

You may decline the in-app AI consent prompt at any time. If you decline, features that require AI processing (transcription, note generation, flashcards, quizzes, the assistant) will not function until consent is granted. You can also request deletion of your stored data at any time (see Section 7).

5. Other Service Providers

In addition to the AI providers described above, we use a small number of service providers to operate the Service. We share only the information each provider needs to perform its function, and each is contractually required to protect your data:

• Authentication, database, and storage provider: stores your account, user content, recordings, and generated notes.
• Subscription management provider: reconciles in-app purchase receipts from the Apple App Store, Google Play, and (on the web) our payment processor, so that we can grant the correct entitlements to your account.
• Payment processor (web only): processes payment card information when you subscribe through our website. We never receive your full card number or bank-account details.
• Product analytics (web only): measures aggregate use of our website to help us improve the product. Our mobile applications do not include any analytics SDK.
• Email and push notification providers: deliver transactional messages such as security alerts and product updates.

We do not sell your personal information, and we do not share it with third parties for cross-context behavioral advertising.

6. Data Protection and Security

We implement administrative, technical, and physical safeguards designed to protect your information. These include encrypting data in transit (TLS), encrypting data at rest, restricting access to authorized personnel, conducting periodic security reviews, and monitoring for unauthorized access. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.

7. Data Retention, Deletion, and Your Rights

We retain your personal information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements.

You may request access to, correction of, or deletion of your personal information at any time by emailing privacy@speedynote.ai. You may also delete your account from within the app, which will remove your stored content and account record from our systems within a commercially reasonable period, subject to backup and legal retention requirements. Depending on your jurisdiction, you may have additional rights under applicable privacy laws, including the right to object to or restrict certain processing and the right to data portability.

8. Children’s Privacy

The Service is not directed to children under 13 (or the minimum age required in your country to provide consent without a parent or guardian). We do not knowingly collect personal information from children below that age. If you believe a child has provided personal information to us, please contact us and we will take steps to delete it.

9. International Data Transfers

SpeedyNote and several of our service providers are located in the United States. By using the Service from outside the United States, you understand that your information will be transferred to, stored, and processed in the United States and other countries where our providers operate. Where required by law, we rely on appropriate safeguards (such as standard contractual clauses) for these transfers.

10. App Tracking and Mobile Permissions

Our mobile applications do not include any third-party tracking SDK and do not track you across apps or websites owned by other companies, as “tracking” is defined by Apple’s App Tracking Transparency framework. The Service requests specific device permissions only for features you initiate:

• Microphone: used solely when you tap Record to capture audio you choose to save. The recording is sent to our transcription service to produce a transcript, and the resulting transcript is processed to generate notes, summaries, flashcards, and quizzes. Recordings are never used without your explicit consent (see Section 4).
• Notifications: used only to deliver processing status, reminders, and service messages you have opted in to receive.

11. Updates to This Policy

We may update this Policy from time to time. We will post any changes on this page and update the “Effective Date” above. Material changes will be communicated through the Service or by email where appropriate.
